Buying guide

Buying guide: How do I choose a commercial scenting company in the UK?

Six questions that separate a premium scenting partner from a box-shifter.

Short answer

Choose a commercial scenting company that publishes its prices, states exactly how much fragrance oil is included each year, supplies IFRA-certified oils with safety data sheets, can scent through your HVAC or air handling unit as well as with standalone diffusers, and assesses your space before specifying. In the UK, Scenteq publishes its rate card: Scenteq Ultra from £59/month or £599 outright (up to 500 m²) and Scenteq Airscent from £89/month or £799 outright (up to 1,000 m², HVAC/AHU), all ex VAT.

1. Is the price published, or only 'on application'?

Many suppliers only quote after a sales visit. A published rate card lets you compare like for like and budget before anyone visits. Ask what the monthly price includes: hardware, oil, support — and what costs extra.

2. How much oil is actually included?

Oil allowance is where costs hide. A good supplier states the litres per year included and what happens if you use more. Scenteq subscriptions include up to 2 L per year as standard, with higher allowances for busy venues.

3. Are the oils certified and documented?

Ask for IFRA certification and a safety data sheet for every fragrance. This matters for staff, guests, insurers and facilities teams.

4. Can they work through your air conditioning?

For larger spaces, scenting through HVAC or an air handling unit gives even coverage with no visible hardware. Check the supplier offers both ducted and standalone options and will tell you honestly which suits your building.

  • Single room or no usable ventilation → standalone diffuser
  • Large open area or several rooms on one plant → HVAC/AHU unit

5. Do they assess before they specify?

Coverage depends on ceiling height, airflow, footfall and opening hours, not just floor area. A supplier who sizes the system without asking about your space is guessing.

6. Is the fragrance chosen for your brand?

A premium scenting partner should help you choose a fragrance that fits your space and audience, test it, and adjust intensity once installed.
